How this site handles personal data

This notice describes the website and account system that qointa operates today. It should be read with our cookies and imprint page.

Who is responsible

qointa is operated by qointa BV, Groenstraat 59, 2870 Puurs-Sint-Amands, Belgium. Questions and data-rights requests can be sent to info@qointa.com.

What we collect

  • Information you submit in contact, registration, assessment and checkout forms, such as your name, work email, organisation, role, phone number, message and assessment answers.
  • Account, order and access records needed to provide the library, purchased services and client portal.
  • Operational security records needed to detect errors, rate-limit abuse and audit staff actions.

Our first-party website analytics count pages, referrals and broad device information without setting an analytics cookie, storing an IP address or creating a durable visitor identifier. We do not run Google Analytics, Google Ads or third-party advertising cookies on this site. Global Privacy Control and Do Not Track signals disable even this cookieless measurement.

Why we use it

We use information to answer enquiries, operate accounts, deliver requested assessments and resources, process orders, protect the service and improve the site. The newsletter is optional and uses confirmation before subscription; every issue includes an unsubscribe link.

We process contact and enquiry data to take steps at your request before entering a contract and to perform it (GDPR Art. 6(1)(b)); account, order and security records on the basis of our legitimate interest in operating and protecting the service (Art. 6(1)(f)); newsletter data on the basis of your consent (Art. 6(1)(a)), which you may withdraw at any time; and records we must keep by law on the basis of a legal obligation (Art. 6(1)(c)).

Service providers and transfers

We share personal data with service providers that act on our instructions, in these categories: our website hosting provider, our database provider, our email delivery provider and our payment provider. We also disclose data to authorities where the law requires it.

Some of these providers may process personal data outside the European Economic Area. Where they do, the transfer is covered by an adequacy decision of the European Commission (for US providers, certification under the EU–US Data Privacy Framework) or by the European Commission’s Standard Contractual Clauses. Cookies

The site uses first-party cookies only where needed for sign-in, unlocking password-protected pages, the free-download allowance, keeping your basket during checkout and remembering your cookie choice. The current list and controls are on the cookies page.

Retention and security

Records are kept only while needed for the purpose, the service, security, audit or applicable legal obligations. Automated retention controls remove or redact operational logs on a schedule. We use HTTPS, access controls, password hashing and staff audit records to protect the service.

Enquiry data is kept for 12 months after the last contact; account data for the life of the account and 12 months after closure; invoicing records for the period Belgian accounting law requires; operational logs for 12 days.

Your rights

Depending on the applicable law, you may ask to access, correct, erase, restrict or receive your personal data, or object to processing. Email info@qointa.com. We may need to verify your identity before acting. You may also lodge a complaint with a data-protection supervisory authority. In Belgium this is the Data Protection Authority (Gegevensbeschermingsautoriteit / Autorité de protection des données), www.dataprotectionauthority.be.

Changes

We update this notice when the service or its data practices change. Material changes are published on this page before they take effect.
